Newsletter – Reports and Statistics

Mailchimp make lots of information available to use regarding the delivery and use of our emails. Here are some of the most interesting things that you can find out:

This can only be done by staff who have been set up with administrators access to the mailing system. If you don’t have access, please contact Kiskadoo to request a log in.

***access to this system should only be given to one or two members of staff who are tech savvy and who are familiar with the privacy requirements of the GDPR.***

For a Specific Newsletter or Bulletin

  • How many people received any particular email
  • How many people opened any particular email
  • How many people clicked on a link in any particular email

These pieces of information are found by accessing the ‘Reports’ section of the Mailchimp website:

  • Log in using your MailChimp username and password
  • Use the top menu to navigate to either the ‘Reports’ area
  • Scroll down the Reports page until you see the email (campaign) that you are looking for
  • Click ‘View Report‘ (bear in mind that this system is fully featured to aid commercial concerns. Because of that, you’ll see empty areas that we don’t use such as ‘revenue’ etc

For a Specific Subscriber

  • Check if they received any particular email
  • Check if they opened any particular email
  • Check if they clicked on a link in any particular email

The system gives actual times in addition to dates which can be quite helpful.

These pieces of information are found by accessing the ‘Lists’ section of the Mailchimp website:

  • Log in using your MailChimp username and password
  • Use the top menu to navigate to either the ‘List’ area
  • There should only be one title in your list menu, usually named ‘Parents and Carers’ or something similar.
  • Use the magnifying glass icon to enter your search word (use a name or email address)
  • From the list of results click ‘View Profile’ for the subscriber (called ‘contacts’ in this system) that you are interested in.

On the profile page you’ll see lots of information regarding emails that have been sent. If there has been a problem sending an email it will be marked as having ‘BOUNCED’ otherwise the email was successfully delivered.

If a subscriber tells you that they have not received an email, but the report has it marked as ‘sent’ (NOT ‘bounced’) this means that it successfully reached their mail server. The reason that your subscriber hasn’t seen the email is likely to be that their email system has filtered it at their end. Only they can control this and you should help them with some of the advice contained within our missing emails page.

 

CARE!
Whilst logged into the Mailchimp site, you should avoid entering the ‘Campaigns’ section. it is surprisingly easy to inadvertently stop your email system from working if you enter this area, even a harmless click-around to look at the system can lead to an accidental disabling of the automated newsletters or bulletins from sending.
Any intervention that you require Kiskadoo to make under the ‘campaigns’ section will be chargable.
